Job Purpose
Project Administrator provides a high level of clerical support in coordinating technical, logistical and administrative activities to the project team, Fluor St Gabriel Project, adhering to established Company procedures and processes ensuring accuracy and compliance. Works independently within agreed work practices and contributes to improving and streamlining business processes ensuring strict levels of confidentiality.
Coordinate and Manage project team members time sheets on a regular basis, allocating time sheets to a set of code of accounts. Coordinate with Finance with all PDS system issues, timesheet input and allocation.
Administer project SharePoint including forms established such as travel authorization form and onboarding form. Coordinate all matters related to SharePoint with project team and stakeholders.
Reporting & Interface
Frequent interaction with Project Managers, department Managers for FEED Phase, EPC-1, EPC-2, EPC-3 and EPC-4, Support Team Risk Management. Regular contact with functional support Services, Legal, Supply, and Finance departments.
Regular contact with FEED, EPC-1, EPC-2, EPC-3 and EPC-4 Contractors, their sub-contractors and vendors during the execution of the project.
Job Context
Understands the key project drivers, develops communication protocols, identifies, develops, and implements project procedures. Coordinates and facilitates all SharePoint and Timesheets related issues and development of plans for Project teams.
The prime objective of project administrator is to improve project performance by anticipating issues, avoiding negative situations, and reducing the frequency of poor outcomes. Embedded robust information management practices have been shown to contribute to the consistent delivery of successful projects.
Major challenges include (i) operating in a dynamic team environment in a highly visible project with large capital expenditure and significant schedule execution pressures and (ii) delivering accurate and flawless performance in respect to safety, quality, cost and schedule demonstrating multi-tasking, flexibility and initiative to meet evolving business needs.
Project Administrator ensures the effective implementation of the administration forms and procedures.
Key Accountabilities
- Support the Project Team in managing all administrative aspects of the project to ensure the technical objectives of the Team are met within the approved scope, quality, budget and schedule.
- Review databases, check complex administration work for accuracy and compliance and ensure the reliability of information gathered to ensure consistency and quality of administration activities within the Project.
- Maintain, organise, analyse, update and retrieve data from Quality Deficiency Control & Corrective Action Registers, SAP, Access, appropriate data files and update records accordingly. Raise workflows as and when required.
- Contribute to the preparation and compilation of reports, statistics and presentations ensuring company formatting and documentation standards are met.
- Anticipate and resolve information processing and handling problems proactively in order to avoid disruptions.
- Act as focal point for initiation of IT and security related matters to ensure stakeholders arrive promptly at their destination.
- Coordinate logistical and administrative related activities including booking transport, employees attending training workshop, office moves and procurement of required materials necessary, ensuring availability of sufficient stock of items including stationary, PPE and other related consumables.
- Develop and maintain project SharePoint site including administration forms.
- Provides training to project team and EPC contractor to ensure document and data delivery meets company requirements.
- Utilizes a systematic approach to problem solving, which ensures a satisfactory, well documented resolution with minimal guidance and within delegated authority limits and time constraints of Project.
- Provides expertise to project management of project data and security including protection of administration access and Company Confidential information.
Qualifications
- 10 years’ experience associated with project administration in Chemicals Industry
- 5 years’ experience associated with developing SharePoint site.
- Preferred: degree in project administration, IT or equivalent experience
- Strong coordination skills
- Strong IT and coordination skills, extensive quality experience in responsible roles
- Knowledge of Electronic Document Management Systems
