Functional Area: People

 

 

1. MAIN PURPOSE (Briefly state the job's overall objective)

Serve as the primary point of contact for visitors and staff, ensuring smooth front desk operations, efficient communication, and a welcoming environment. Support office administrative activities as needed.

 

 

2. KEY RESPONSIBILITIES (Briefly describe the most important aspects of the job; no more than 10)

  1. Manage the front desk (if any will be designated), greeting visitors and ensuring proper registration.
  2. Handle incoming calls and route them to appropriate staff members.
  3. Oversee visitor, supplier, authorities access to ensure compliance with office policies.
  4. Manage scheduling and booking of meeting rooms and shared office resources.
  5. Distribute mail and packages to respective departments or individuals.
  6. Maintain and replenish reception area supplies as needed.
  7. Coordinate with security and building management for visitor protocols.
  8. Support office events by assisting with logistics and visitor coordination.
  9. Manage emergency contact lists and support safety protocols.
  10. Provide general administrative support to office staff as requested.

 

 

3. COMPLEXITY OF THE JOB (i.e. The occupant manages vendors from different geographical regions with various financial and legal conditions and the level and impact of decisions the occupant needs to make, manages revenue, CAPEX, Sales, etc.)

7. EDUCATION, EXPERIENCE, LANGUAGE, & PHYSICAL REQUIREMENTS (To perform satisfactorily in this job what type of knowledge and experience is required?)

  • Academic Level: High school diploma or equivalent
  • Language(s) and level of proficiency: Proficient in Spanish, Conversational in English
  • Knowledge/Experience:
    • 2+ years in reception or customer service roles
    • Familiarity with office systems and basic administrative tasks
