OFFICE MANAGER
MAIN PURPOSE
Ensure the efficient and effective management of office operations, facilities, and administrative support at the Torre Reforma office, directly contributing to the organization’s objectives by optimizing operational workflows and fostering a collaborative and efficient work environment. This role supports key organizational goals by fostering a productive work environment and maintaining alignment with company policies and procedures.
KEY RESPONSIBILITIES
Oversee daily office operations, including facilities management, supplies, and vendor relations, such as coordinating contracts, evaluating service performance, and maintaining effective communication with cleaning, security, and maintenance providers.
Coordinate and attend quarterly safety and civil protection meetings to ensure compliance with regulations.
Manage booking and use of office spaces, ensuring proper documentation and adherence to usage policies.
Supervise administrative support staff and provide guidance to ensure high-quality service.
Act as a liaison with Torre Reforma building management to address operational needs.
Develop and implement office policies and procedures to streamline operations.
Provide logistical support for team meetings and events, including logistics and materials, for in-person gatherings.
Handle budget preparation and cost control related to office management activities.
Monitor and maintain office equipment and ensure timely repairs or replacements.
Serve as the point of contact for internal and external stakeholders regarding office operations.

• Cross-functional coordination: Engage with various internal teams (e.g., IT, People, and Operations) and external vendors.
• Decision-making: Handle operational decisions with moderate financial and strategic impact.
• Problem-solving: Address and resolve issues related to facilities and office management effectively.

EDUCATION, EXPERIENCE, LANGUAGE, & PHYSICAL REQUIREMENTS
Academic Level: Bachelor’s degree in Business Administration, Operations, or related field
Language(s) and level of proficiency: Proficient in Spanish and English (written and spoken)
Knowledge/Experience:
o 5+ years in office management or similar roles.
o Knowledge of local regulations related to office safety and civil protection, such as compliance with NOM-030-STPS for workplace safety programs and evacuation protocol standards.
o Experience in budget management and vendor coordination
o First Aid certified / Civil Protection Norms knowledge (certified desirable)
